HostelGrid Terms of Service

1. Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding commercial agreement between HostelGrid ("HostelGrid," "we," "our," or "us") and the business entity, property owner, manager, or authorized operator ("Operator," "you," or "your") accessing or utilizing the HostelGrid property management software platform, website, applications, and associated services (collectively, the "Platform").

By creating an account or accessing any part of the Platform, you acknowledge that you have read, understood, and agreed to be bound by these Terms. If you do not agree with these Terms, you must immediately cease all access and use of the Platform.


2. Platform Nature & Non-Financial Services Disclaimer

2.1 Pure Property Administration Software

HostelGrid is strictly a property administration software product delivered as an Android application with an associated website. The Platform provides automated workflows for inventory bed tracking, room occupancy mapping, dues tracking calculations, notification templates, and property record-keeping.

2.2 Non-Financial Services & Non-Banking Disclaimer

HostelGrid is NOT a bank, non-banking financial company (NBFC), payment aggregator, payment gateway, escrow agent, or money transmitter under the Reserve Bank of India (RBI) regulations.

  • HostelGrid does not collect, hold, settle, custody, or transmit rental monies, advance tokens, or security deposits between hostel operators and tenants.
  • When property operators display UPI IDs (VPAs), QR codes, or bank account details to residents, all monetary payments are processed directly between the resident's bank/UPI app and the property operator's chosen bank account.
  • Any payment receipts, ledger credits, or payment confirmations logged within the Platform represent administrative record-keeping entries input or authorized by the Operator, not an official banking clearance or escrow confirmation.

3. 100% Data Ownership & Intellectual Property

3.1 Operator Data Ownership

You retain 100% absolute legal and beneficial ownership of all data, resident directories, resident details, bed occupancy charts, and financial ledgers that you enter into or generate via the Platform.

  • HostelGrid asserts zero ownership claim, copyright, or commercial interest over your tenant records or accounting entries.
  • In this version of the app, your records are stored on your own device, not on HostelGrid servers. HostelGrid does not hold a copy of them.
  • You grant HostelGrid no license over your data beyond what the app needs to run on your device. If HostelGrid later offers optional cloud storage, we will update these Terms and our Privacy Policy and tell you before it applies to you.
  • Because the records live on your device, you are responsible for keeping the device secure and backed up. Uninstalling the app or clearing its data permanently deletes your records, and HostelGrid cannot restore them.

3.2 HostelGrid Intellectual Property

HostelGrid retains sole and exclusive ownership of all software code, interface designs, algorithms, bed matrix visual models, logos, trademarks, documentation, and system architecture comprising the Platform. You may not reverse-engineer, decompile, copy, resell, or white-label the software without prior written authorization.


4. Fees

HostelGrid does not currently offer paid plans, and no payment is taken inside the app. If we introduce paid plans in the future, we will publish the pricing and billing terms on our website and in the app before they apply to you, and update these Terms.


5. Operator Responsibilities & Compliance

As an Operator, you represent and warrant that:

  1. You have the legal authority to manage the registered hostel, PG, or co-living property.
  2. You obtain all necessary consents from residents/tenants to process their personal contact, demographic, and identification records in compliance with the Digital Personal Data Protection (DPDP) Act, 2023.
  3. You will not use the Platform for unlawful activities, harassment, unauthorized surveillance, or dissemination of fraudulent communications.
  4. You are solely responsible for maintaining the confidentiality of your administrative credentials, app PINs and device security, and all actions taken under your account. Notify support@hostelgrid.in promptly if you suspect unauthorized access.

6. Relationship Between Property Operator and Residents

  • HostelGrid is not a party to any rental agreement, lease contract, hostel rules, or financial arrangement entered into between the property operator and residents.
  • All matters concerning rental pricing, deposits, refunds, room evictions, checkouts, meal provision, and facility maintenance remain strictly between the property operator and the resident.
  • Property operators agree to indemnify and hold harmless HostelGrid from any claims, disputes, damages, or liabilities arising from operator-tenant disagreements.

6A. Third-Party Services

The app may interface with third-party tools and services such as WhatsApp, UPI apps, and OpenStreetMap Nominatim (address lookup). Your use of these services is subject to their own terms and privacy policies, and HostelGrid is not responsible for their availability or conduct.


7. Service Availability & Customer Support

  • Core features of the app run on your device and do not depend on a HostelGrid server. Address lookup and opening WhatsApp need an internet connection. Updates are delivered through Google Play.
  • Standard support is provided via email and dedicated support channels with a targeted initial response time of within 4 business hours.

8. Limitation of Liability

To the maximum extent permitted by applicable Indian law:

  1. In no event shall HostelGrid, its directors, employees, or affiliates be liable for any indirect, incidental, punitive, consequential, or special damages, including lost profits, loss of data, business interruption, or tenant disputes.
  2. HostelGrid's total aggregate liability arising out of or related to these Terms or the Platform, under any legal theory, shall be limited, to the maximum extent permitted by law, to the amount (if any) paid by you to HostelGrid for the Platform during the three (3) months immediately preceding the claim.

9. Termination & Data Portability

  • Termination by Operator: You may stop using the Platform at any time by uninstalling the app. If you have contacted us, you may also ask us to delete your contact and support records by emailing support@hostelgrid.in.
  • Termination by HostelGrid: We may suspend or terminate access immediately if you breach these Terms or engage in fraudulent activity.
  • Data Portability: Self-service data download is not currently available. Your records are stored on your device, and HostelGrid does not hold a copy. Uninstalling the app or clearing its data permanently deletes them. Please keep your own backups.

10. Governing Law & Dispute Resolution

These Terms and any dispute arising out of or relating to them shall be governed by and construed in accordance with the substantive laws of the Republic of India.

Any legal action, suit, or proceeding arising under or in connection with these Terms shall be instituted exclusively in the competent courts located in Hyderabad, Telangana, India, and both parties unconditionally submit to the personal and exclusive jurisdiction of such courts.
